Purpose of the Role
We are seeking a highly organized and proactive Executive Assistant to support the General Counsel, whose responsibilities include the Legal, Corporate Secretary, Risk and Internal Audit functions. The Executive Assistant will play a key role in ensuring the smooth operation of the General Counsel’s Office through effective coordination, communication, and follow-up on priorities.
Responsibilities include managing schedules and correspondence, preparing documents and meeting materials, and facilitating interactions with internal teams and external stakeholders. The ideal candidate will demonstrate discretion, strong organizational skills, and the ability to anticipate needs in a fast-paced, document-intensive environment.
The Executive Assistant will also support the wider team as instructed by the General Counsel, this will include (but not limited to) organizing all aspects of team missions inclusive of flights, hotel, transportation etc.
The Executive Assistant will also handle all related office management matters and coordination with suppliers responsible for the proper running of the office.
Principal Responsibilities
Provide comprehensive administrative support to the General Counsel and team, including calendar management, correspondence, and document preparation.
Coordinate travel arrangements and related logistics, ensuring accuracy in itineraries, schedules, and expense reports.
Organize and prepare for meetings and conferences, including scheduling, agenda circulation, minute-taking, and follow-up on action items.
Maintain organized records and filing systems for official correspondence and departmental documents.
Support the preparation of presentations and briefing materials for internal and external engagements.
Monitor deliverables and implementation of strategic initiatives
Assist in the planning and delivery of internal events for the Legal, Corporate Secretariate, Risk and Internal Audit functions.
Manages the team database of contacts
Prepares routine correspondence such as: emails, mailings, invitations, including correspondence related to Board materials
Oversees administration relating to standard vendor contracts, including the approvals and payment of invoices
Candidate Profile
- Minimum 6 years’ experience as an Executive Assistant or in a similar administrative role (legal background is a plus)
- Strong educational background; bachelor’s degree or higher preferred
- Fluent in English; French is an advantage
- Highly organized, detail-oriented, and proactive, with the ability to manage multiple priorities in a fast-paced environment.
- Proficiency in managing calendars, travel arrangements, and executive correspondence
- Strong oral and written communication skills
- Strong interpersonal skills and ability to work collaboratively in a team-oriented setting
- Familiarity with legal terminology and basic contract processes (preferred)
- Ability to function effectively in a busy, team-oriented environment in a collaborative manner
- High level of professionalism, discretion and confidentiality
- Ability to work independently and anticipate needs proactively
